Crew & call sheet

Who is on set for a shoot is listed in the session’s Crew tab. That’s where the call sheet comes from: location, light, weather, schedule, shot list and emergency info come together on their own, and everyone confirms through their own link.

Under Tools → Contacts you add people without a Pachurros account: clients, models, assistants, stylists, locations. Name, role, phone, email, company and a note. Add them once and book them for any shoot. For each contact you see which shoots they were part of. Archive contacts you no longer need.

  1. Open the session and the Crew tab.
  2. Add person: search for a contact or a workspace member, or create a new contact right there.
  3. Enter the call time and the role on the day. “7:30” becomes 07:30.

Next to each person their status shows as a dot and a word: Not sent yet, Sent, Opened or Confirmed.

Under For the call sheet you add what applies to everyone: Emergency (nearest hospital, emergency number) and the shot list, whose rows for that day (and those without a date) appear on the call sheet.

  • View call sheet opens it as a page of its own. Use Print to save it as a PDF; it always prints light.
  • Send call sheet sends each person with an email address their personal link.
  • Without an email address: Copy link or Send via WhatsApp in the person’s menu.

The personal link shows “Hello …”, their own call and role, plus the whole day. One tap on Read and confirmed and you see it in the crew. The link works without an account and shows the last state even offline.

A link belongs to exactly one person. Create new link makes the old one stop working. Once the session is archived, no link shows anything.

The call sheet lists the crew’s phone numbers so people can reach each other on set. Email addresses are not on it.
