Media Library

The Media Library is the central archive for all photos, videos, audio files, and documents in the workspace. From here you can insert media into Pages, Boards, and databases.

CategoryFormats
ImagesJPG, PNG, WebP, GIF, SVG, HEIC/HEIF
VideosMP4, MOV, WebM
AudioMP3, WAV, M4A, AAC, OGG, FLAC
DocumentsPDF, DOC/DOCX, XLS/XLSX, PPT/PPTX, TXT

Maximum file size: 25 MB for images & documents, 100 MB for audio, 500 MB for videos. A lower limit may apply depending on your plan.

  • Click Upload in the Media Library
  • Drag files directly into the Media Library window (drag & drop)
  • For uploading multiple files at once: multi-select in the file dialog

Images are automatically optimized on upload (WebP). For videos, a thumbnail is generated automatically and shown in the overview — the full video does not need to load for that.

Organize your media in folders:

  1. Click + New folder
  2. Enter a name
  3. Move files via drag & drop or through the context menu

The default folder is called Uploaded and contains all uploads without a folder assignment.

In the top right of the Media Library you can choose the sort order:

SortDescription
Date ↓Newest first (default)
Date ↑Oldest first
Name A–ZAlphabetical ascending
Name Z–AAlphabetical descending
Size ↑Smallest first
Size ↓Largest first
TypeGrouped by file type

For name sorting, the assigned title is used (if set), otherwise the file name.

  • Text search — search file names (top right)
  • Filter by type — Images / Videos / Files
  • Filter by project — Show only media from a specific project
  • Filter by camera — EXIF-based filter (which camera was used)

Click on a file to open the detail view:

  • Preview (image, video, audio player, PDF preview)
  • File name, file size, upload date, dimensions
  • Title & description — editable (see below)
  • EXIF data (for photos) — camera, lens, exposure settings
  • Color palette — automatically extracted dominant colors from the image
  • Usages — which Boards, Pages, and databases is this file linked in?

In the detail view of any file you can assign a custom title and an optional description:

  1. Open a file (click the item)
  2. Enter a title and/or description in the Details field
  3. The change is saved automatically as soon as you leave the field

The title overrides the original file name in the display — your title then appears everywhere in the Media Library (overview, list, detail view). If no title is set, the file name is shown.

On a Board: Drag a file from the Media Library directly onto the canvas.

In a Page: Insert an image, video, or audio block → Choose from Media Library.

In a database: Click on an image or file cell → Choose from Media Library.

Images imported via the built-in Unsplash search display the photographer credit as a clickable link directly below the file name in the Media Library. This link leads to the photographer’s Unsplash profile — as required by the Unsplash terms of service.

Open a file → Download (arrow icon).

Open a file → Copy link. The URL points directly to the file and can be used in external contexts.

Right-click on a file → Delete. If the file is still used in Boards, Pages, or databases, a warning appears listing all locations where it is used.
